Characteristics
This table allows for the input of standard documents with a view:

·To carry out personalised mailshots, (mailing), from the 'Contacts' and 'Index table'.  
·To draw up a model letter for a Contact in order to simplify the management of your 'standard' correspondence.  

The input form gives you access to word processing, (4D Write), in Prospect Tracking.

Note : The document is stored in the database of Prospect Tracking like all other records. It can also be externally stored (see below).

Word Processing
From the latter you can:
·Record to an external source, preview and print the documents from the command in the 'File menu.  
·Put into text form using the menus style, colours, paragraph and format.  
   Note: The last menu's integrated command ensures the management of the page style.  
·The management of different parts of the document, (head, body and foot of the page), are done with the help of the 'display' menu.  
·Insert references from the 'insert' menu to personalise mailshot documents. The available references are: fields, conditions, date and hour, No of page,…..  
These references are presented in the form <[contacts]company>, <Date and hour>,….  
They are automatically replaced by the corresponding values during the printing of the document.

Mailing Production
·Enter the text of your letter and put it into document form.  
Insert the fields and /or conditions with the help of the Field and Condition command from the menu insert.  
The same field condition may be inserted several times in the document.  
Note : The references of the filed are presented in the <[table] name or field> form and are replaced by the corresponding values during the mailing execution.  
·By previewing the document, you are assured that it is standard.  
·Record the document by clicking on the validation button.  
·Place yourself on the 'Contacts' or 'Studies' file and make your selection.  
·In the file menu choose print.  
·In the dialogue of printing choices, select the option Letter in the list Mailshots.  
Note : Attention, there is not previewing before the printing option at this stage, the documents are printed directly.  
 
Remarks
The documents are directly recorded in the data file of Prospect Tracking. The 'save' command in the 'File' menu allows for the storing of your documents out of the database context in the volume of your choice.

The supported format are:
4D Write:   word processing internal format,
Ascii:   the text form is not kept.
RTF:   the text form is kept.
Note :   the RTF format allows information exchange from a different word processor.
