Characteristics
The contacts file allows for the management of different populations, from wherever you wish to conduct the studies (in the case where your studies are nominative).

This file can be improved upon at any times by the intermediary of the import data command or by simply creating new records.

The different tabs
The information on the 'contact' records are divided into groups belonging to:

File structure
Title            Mr, Mrs, Miss, Mr and Mrs.
Surname         20 characters maximum.
First name         20 characters maximum.
Function code         in relation with the 'functions' file.
Company         60 characters maximum.
Address         35 characters maximum.
Address continued      35 characters maximum.
Postal code          7 characters maximum.
Town            25 characters maximum.
Country code         in relation to the 'countries' file.
Telephone10 significant characters, maximum. Display according to the 'numeration format' defined for the country.  
Fax            Idem.
Email            50 characters maximum.
Intern Key 1         15 characters maximum.
Intern Key 2         Numeric.
Comments         32 000 characters maximum.
Variable32 characters maximum.  
Re-contact date         This field automatically moves to the week to re-contact.
Re-contact week      Format AAASS
Re-contact time         Format HH:MM
International Identity      30 characters maximum
For example this field may be used in C.E.E. for the the AT N°.  
Index fields
Date field 1 to 6
Alpha fields 1 to 6
      40 characters maximum
Numeric field 1 to 6

Remarks :
·Certain fields (marked below in italics) are not instructions, and may accept the value of your choice. On the other hand the name of these fields can be personalised according to your requirements, using the 'File/Preferences' command. For example, if the 'contact' records are from another database (client files, prospects…), to manage an existing reference, is significant to you in relation to the source origin (client code, accounting account,…).  
·The 're-contact date' and 're-contact week' fields allows you to manage the planning of these for the Contact records.  

Characteristics
From the list screen it is possible to carry out specific operations to this file on the current section:

·You can edit the 'Contact' record, from the Print command.  
Note : If this action is carried out from the edition format it will only apply to the current record.  
 
·You can get information for the 'Variable' field with the view to affect the same value of all the records with the help of the 'Functions/Assign a variable' command.  
Note 1: If this action is carried out from the edition format it will only apply to the current record.  
Note 2: The name of the field may be different if you have personalised it from the  
'File / Setings...'  
 
·The colour of the record tell you the:  
Green:   The re-contact week is equal to the current week.  
Blue:   One week of re-contacting is assigned to the contact record.  
Red:   The re-contact week has expired.  
Black:   No re-contact week has been assigned to the contact record.  
 
Deletion of a record
The deletion of a 'Contact' record deletes the studies in relation to the record as well as the records of the 'Index table'.

Notes on searches
How to find contacts to be re-contacted for any given week ?
Use the search as follows:
Studies: Re-contact week = 'YYYYWW'
Note: The number of the week is always memorised on 2 numbers.

How to find contacts that don't have a type of given keyword ?
Only the calculated search allows you to obtain this result. You must formulate the search as follows:
- Activate the 'Significant Zero' interrupter ('Number of records in relation' area),
- Specify the corresponding value to the keywords to be excluded ('Discriminate framework').
